Frequently asked questions
Good questions, plain answers.
What office managers, practice managers, property managers, church administrators and builders usually ask before a walkthrough. Can't find yours? Call or text, and a real person will answer.
Working together
Schedules, keys, people, and what happens when something isn't right.
When do you clean?
Cleaning scheduled around your business: evenings, early mornings or weekends. Most offices and practices are cleaned in the evening after close. Stores usually prefer early mornings before opening, churches a Saturday prep or a Monday reset, and gyms the quiet hours between classes.
Your cleaning window is written into your proposal, so everyone in your building knows when to expect us. Questions about your schedule? Call or text: Office Mon–Fri 8am–6pm.
How do keys and alarm codes work?
After you sign, we pick up keys or fobs in person. Each key is tagged with a code, never your name or address, and recorded in a key log for your site. Where your alarm system allows it, we ask for individual user codes for our cleaners, so you can see our entries and remove a code any time.
Every visit ends with a lock-up checklist: doors, lights and alarm. If a key is ever lost, we tell you within 2 hours. When service ends, every key comes back to you.
Please share codes in person or by phone, never in a web form. Our access policy.
Will we have the same cleaners each time?
[Confirm: the same assigned crew each visit, and we tell you before it changes]
Whoever cleans works from the same written checklist for your space, so the standard doesn't depend on one person remembering how you like things.
Are your cleaners background-checked?
Our background-check practice: [Background checks: vendor and scope, or remove].
If your site has its own screening rule, which is common for churches with children's areas, medical practices and some property managers, tell us on the walkthrough. We'll confirm in writing how we meet it before you sign.
What if something is missed?
Missed something on your checklist? Tell us within 24 hours and we'll come back and fix it within 1 business day, at no charge. A photo helps, but it isn't required.
Use the report form, or call, text or email. How the Re-clean Promise works.
How fast do you reply?
We reply within 2 business hours. Messages after hours get a reply by 9am the next business day.
You reach the business itself, not a national call center or a franchise office. Texting is usually fastest, and it's the easiest way to send a photo.
Is there a long-term contract?
Month-to-month service. Either of us can end it with 30 days' notice, so you stay because it's working, not because you're locked in.
When you sign, we email you a copy of your accepted proposal and our service terms. How ongoing service works.
How do we pause or end service?
End service any time with 30 days' notice by email, text or our online form. No phone call required, and we confirm in writing.
Pausing for a renovation, a slow season or a closure works the same way. Send a service request.
Do you work on holidays?
We follow the holiday schedule in your proposal. Closing for a day? Tell us and we'll skip that visit or move it. [holiday policy: which holidays we don't clean, and how much notice we need for closures]
If weather or an emergency means we can't make a scheduled clean, we tell you that day and work out a make-up visit with you. [confirm same-day notice and a make-up visit] Scheduling and holidays.
Do you check your own work?
Yes. [Owner's first name] walks your space with you after your first week, then monthly, and sends a short written note after each walk: what's going well, anything we're fixing, and supplies running low.
Quality walks continue for as long as you're a client, not just the first month. See a sample report.
Quotes and billing
Walkthroughs, written quotes, invoices and paperwork.
Why aren't prices on your website?
Every space is different, so every quote is custom. Walkthroughs are free, with no obligation.
Two offices the same size can need very different cleaning. The number of restrooms, how often you need us, your floors and your cleaning window often matter more than square footage. A number given over the phone is a guess, and low guesses turn into cut corners later. We'd rather walk your space and put one price for a written scope in writing. How our quotes work.
Is the walkthrough free?
Yes, with no obligation. We walk your space with you, usually within 2 business days of your request, and note floors, restrooms, supplies, access and when you'd like us there.
Switching cleaners? Bring your current scope or checklist and show us the spots that keep getting missed. No codes are needed yet. Request a walkthrough.
How soon do we get a written quote?
Your written scope and quote follow within 2 business days of the walkthrough.
It includes a checklist by frequency, your cleaning window, the supplies plan, the access and lock-up plan, the quality-walk schedule, and one price for that written scope. What your proposal includes.
Can you quote from photos or a floor plan?
Sometimes. Photos or a floor plan help us prepare for the walkthrough, and for small jobs they can be enough to quote without one. Recurring service is always quoted after we've walked the space.
Send photos or a floor plan. Photograph the space only: no people, screens, documents or alarm panels.
Will our price change?
Your price is in writing. Nothing changes without written notice at least 30 days ahead, and you can end service instead.
Extras, like a floor project or a post-event reset, are quoted in writing first. Scope changes are agreed in writing before they start, so there are no surprises on an invoice.
How do invoices and payment work?
Payment terms are Net 15. [confirm invoicing cadence: monthly for recurring service, on completion for post-construction work and extra visits] You can pay online, by bank transfer or by check, and we're happy to invoice through your vendor portal or AP system.
Can we get your COI and W-9 before the walkthrough?
Yes, on request. Our coverage: [Insurance: general-liability carrier; limits go on the COI only]. Certificates of insurance are usually ready the same business day, naming your company, building owner or association as certificate holder. A W-9 comes by email.
Need a certificate or a W-9 first? Request them here.
Can you take on several locations?
Yes. We set one walkthrough schedule for all your sites, give you one point of contact, and invoice the way your accounts team prefers: one invoice for everything, or one per site.
The cleaning
Supplies, products, what we touch, and what we don't.
Who supplies paper towels, toilet paper, soap and liners?
Your choice, named in your proposal: you supply and we restock from your stock on every visit, we supply them, or we flag low stock for you to reorder. [confirm whether Gentle Touch supplies paper, soap and liners]
Either way, restocking is a named line on your checklist, and we tell you before you run out. We bring our own cleaning products, cloths and equipment. Supplies and restocking.
What products do you use?
[product names] Every product is used according to its label, including the contact time a disinfectant needs. Safety data sheets for your site are available on request, and we clean fragrance-free on request.
Prefer your own disinfectant, as many medical and dental practices do? We'll use it, so your practice's plan stays consistent.
Do you clean desks, keyboards and screens?
Cleared desk surfaces, yes. We clean around your work, not through it: no moving papers, no opening drawers, no touching screens or keyboards. If your team clears a desk, it gets wiped; if it's mid-project, we leave it alone.
Do you do floor care?
Ask on your walkthrough, and we'll confirm which floor projects we take on: carpet extraction, VCT scrub and recoat or strip and wax, LVT scrub and recoat, burnishing, and tile and grout deep cleaning. [in-house floor equipment or partner]
Floor projects get a test spot and a signed condition note before we start. Floor care and periodic projects.
Do you clean windows?
Interior glass, partitions, mirrors and entry doors are part of most scopes. Ground-level exterior glass on request. We don't clean exterior windows above ground level, and we don't do lift or rope work.
Do you clean medical and dental offices?
Yes, the non-clinical side: waiting rooms, front desks (cleared areas), offices, hallways, restrooms and breakrooms, plus exam-room and operatory floors, sinks, door hardware and switches once your staff finish clinical cleaning.
Your clinical team keeps exam tables, dental chairs, clinical contact surfaces, sharps and spills. Your proposal includes a who-cleans-what table, and we don't read, move or photograph papers or touch screens. Confidentiality agreement on request. [confirm] Medical and dental office cleaning.
Do you handle medical waste or sharps?
No. We don't handle sharps containers, red bags or regulated medical waste, and we don't clean blood or body-fluid spills. If we find blood, a sharp or red-bag waste, we stop, leave it untouched and tell you that night.
Can you clean around church services, weddings and events?
Yes. Choose a Saturday prep or a Monday reset, and ask about short-notice turnarounds for weddings and funerals; we fit them in when our schedule allows. Children's rooms are cleaned only when they're empty, and we never handle communion vessels or sacred objects.
For churches, your written proposal shows the total cost, including every required charge, before you sign. Churches and event spaces.
What don't you clean?
We don't handle any of the following:
- Regulated medical waste or sharps containers
- Biohazard, trauma or blood-spill cleanup
- Mold, lead or asbestos remediation
- Pest control
- Kitchen hood and exhaust-duct cleaning
- HVAC duct cleaning
- Exterior windows above ground level, or any lift or rope work
- Junk, furniture or debris hauling
- Snow removal
Post-construction
For builders, general contractors, tenant fit-outs and remodels.
Which phases do you do?
All three, bid separately so you book only what you need:
- Rough clean, after framing, rough-ins and drywall, before finishes: scrap, dust, nails and screws out, so finishes go in clean.
- Final clean, after the trades finish, before inspection or the owner walkthrough: every surface, glass, fixture, cabinet and floor.
- Touch-up clean, in the last days before turnover or move-in, after punch-list work: settled dust, fingerprints and a final floor pass.
Can you work while trades are on site?
Yes. Rough cleans usually happen with trades still working, and we work around them. We attend your orientation, sign in, and wear your required PPE: hard hat, eye protection, hi-vis and boots.
Final cleans go best once the trades are done, because dust keeps settling while work continues. We'll plan the timing with your superintendent.
Do you haul debris?
No. Debris is bagged and carried to your dumpster on site. We don't haul off-site.
Can you meet our COI requirements?
Our coverage: [Insurance: general-liability carrier; limits go on the COI only]. Workers' compensation: [Workers' compensation: carrier, or remove]. Additional-insured (ongoing and completed operations), waiver of subrogation and primary and non-contributory wording are added by endorsement where your written contract requires it. [confirm blanket endorsements with the insurance agent]
Send your requirements with your bid request, or request a certificate now.
Do you remove labels, film and paint from glass?
Yes, carefully. We remove paint, labels, protective film, overspray, caulk and adhesive without scraping whole panes: spot work only, with a fresh blade on uncoated glass and only with your OK. On coated or tinted glass, we check with you first.
How much notice do you need for a touch-up?
[notice needed for a touch-up] Short-notice touch-ups happen when our schedule allows. The easiest way: tell us your turnover date when you book the final clean, and we'll plan the touch-up around it.
Do you clean high fixtures or use lifts?
We work to step-ladder reach. [max ladder height] We don't operate lifts or do rope work; if your project has high fixtures or glass, we'll plan it with your team.
What about buildings built before 1978?
In homes and child-occupied facilities built before 1978, the EPA's lead Renovation, Repair and Painting (RRP) rule requires your contractor's certified renovator to perform the cleaning verification. We do the cleaning to their direction; we don't perform the verification, and we don't do lead, asbestos or mold remediation.
Do you clean after home remodels too?
Yes. Homeowners with a remodel or addition can use our short quote form. Builders and general contractors bidding a project should use the full bid form, which takes plans, site rules and COI requirements.
Home cleaning
Our focus is businesses, and we still clean homes on request.
Do you still clean homes?
Yes, on request. We clean homes across the Roanoke Valley: recurring visits, one-time deep cleans, and move-in or move-out cleans. We also clean homes.
How do I get a home quote?
Tell us about your home on our home cleaning form. We'll reply with any questions, ask for a few photos if they'd help, and send a written quote. Every home is quoted on its own, with no obligation.
Do you clean vacation rentals?
We focus on businesses now. Tell us about your rental on the home form and we'll let you know. [owner decides whether to keep vacation-rental turnovers]
