Every office proposal includes

A written scope you can hold us to.

  • A checklist by frequency: each visit, weekly, monthly and quarterly
  • Your cleaning window, and how many nights a week
  • A supplies plan: who stocks paper, soap and liners
  • A key, alarm and lock-up plan
  • One price for that scope, in writing

Sent within 2 business days of your free walkthrough. No obligation.

Who it's for

For whoever gets the call when the trash isn't emptied.

Usually that's an office manager, an owner or a facilities coordinator with a building to look after on top of a full-time job. We take the janitorial work off that list: one written scope, the owner's direct line, and nothing you have to check up on.

Plant, warehouse and flex-building offices

Production buildings have offices, breakrooms and restrooms too, and shift traffic wears them hard. We clean the spaces your people use between shifts and leave the production floor to your team.

We plan the cleaning window around your shift changes, attend your safety orientation, sign in and out, and wear the PPE your site requires. [Confirm whether crews can clean overnight or on weekends for plants that run around the clock]

  • Front offices, supervisor offices and conference rooms
  • Breakrooms and lunchrooms, reset before the next shift sits down
  • Restrooms and locker rooms, cleaned, disinfected and restocked
  • Entries, lobbies and hallways, where dust and grit from the floor get tracked in
  • Production floors, process equipment and machinery, and anything that needs lockout/tagout, stay with your team

Sound familiar?

Three complaints every office manager knows.

Offices rarely change cleaners over one bad night. They change because the same small things keep slipping and nobody answers when they do. Here's how we keep them from slipping in the first place.

The trash got skipped again.

Every visit follows the written checklist for your office, and lock-up doesn't start until the list is done. If something is still missed, tell us within 24 hours and we come back to fix it within 1 business day, at no charge.

How the Re-clean Promise works

We ran out of paper towels by Wednesday.

Restocking is a named line on your checklist, not an afterthought. We refill toilet paper, towels, soap and seat covers every visit, and flag low stock before the closet runs dry, so nobody on your team is hunting for supplies midweek.

I don't know who has our keys.

Keys, fobs and badges go on a key log the day we receive them. Tags carry a code, never your company's name or address, and every visit ends with the same lock-up checklist: doors, lights, alarm.

How we handle access

Frequency

How often we come.

Recurring janitorial service runs on a set schedule, and restrooms and trash set the pace for most offices. We'll suggest a frequency at your walkthrough based on your headcount, restrooms and foot traffic, and you can change it later in writing.

Every weeknight

Nightly

For busy offices, shared suites and anywhere restrooms see heavy use. Trash, restrooms and the breakroom never sit overnight.

Two or three set nights

Several nights a week

A common fit for small and mid-size offices. Restrooms and trash are done every visit, and the weekly tasks rotate across your nights.

The same night each week

Weekly

For small suites with light traffic. Restrooms, trash and floors every visit, with deeper tasks rotated through the month.

During business hours

Day porter, on request

Someone on site while you're open to check restrooms, restock, handle spills and reset meeting rooms between bookings. [Confirm whether day-porter service is offered, and for which hours]

Carpet extraction, floor refinishing and other periodic projects are scheduled separately. See floor care and periodic projects.

The scope

What we clean, visit by visit.

This is our standard office scope. At your walkthrough we fit it to your space, and your proposal lists every task with how often it happens, so you always know what a given night includes.

  • Empty trash and recycling, replace liners, and take bags to your dumpster or collection point
  • Restrooms: clean and disinfect toilets, urinals, sinks, counters and fixtures; clean mirrors; spot-clean partitions and walls; mop floors
  • Restock toilet paper, paper towels, soap and seat covers
  • Disinfect high-touch points: door handles, push plates, light switches, railings, elevator buttons, and the outside of shared copiers and printers
  • Breakroom: counters, tables, sink, microwave inside and out, appliance fronts and handles
  • Dust cleared desks and reachable horizontal surfaces (we never move papers)
  • Vacuum carpeted traffic lanes and entry mats
  • Sweep and damp-mop hard floors
  • Spot-clean entry glass and glass doors
  • Reset conference rooms: tables wiped, chairs pushed in
  • Lock-up checklist: doors, lights, alarm
  • Vacuum all carpet, edges and corners included
  • Dust ledges, sills, partitions and frames within reach
  • Spot-clean walls, doors and cubicle panels
  • Clean interior glass partitions and glass doors
  • Wipe conference tables and whiteboards, if you'd like them wiped
  • Scrub restroom floors and grout lines
  • High dusting within step-ladder reach: vents, return grilles, light fixtures and door tops
  • Baseboards
  • Vacuum upholstered chairs and chair bases
  • Doors, frames and kick plates
  • Breakroom fridge interior, after staff clear it

Quarterly, or on the schedule your proposal sets.

  • Carpet extraction (on request; confirmed at your walkthrough)
  • Hard-floor scrub and recoat, or strip and wax (on request; confirmed at your walkthrough)
  • Blinds
  • Full interior window cleaning

Restrooms first

Restrooms decide what people think of your office.

In a Bradley Corp. survey, the restroom problems people found most aggravating were clogged or unflushed toilets (85%) and empty or jammed toilet-paper dispensers (83%). Clients and job candidates notice the same things your staff do.

That's why restrooms and restocking come first on every visit.

How we work in an office

We clean around your work, not through it.

From the first walkthrough to an ordinary Tuesday night a year later, the same habits apply.

  1. Free walkthrough

We walk the office with you, usually within 2 business days of your request, and note restrooms, floors, supplies, access and the cleaning window you want.

  2. Written scope and quote

Within 2 business days: a checklist by frequency, your cleaning window, a supplies plan, a lock-up plan and one price for that scope.

  3. Keys, alarm, first night

After you sign, we collect keys, fobs or badges in person and log them, set up alarm codes by phone, and start on the night you choose.

  4. A check-in after week one

[Owner's first name] walks the office with you after the first week, so the scope is right before it becomes routine.

Every visit after that

  • Your desks stay your desksNo moving papers, no opening drawers, no touching screens or keyboards. Cleared surfaces get dusted; everything else stays exactly where you left it.
  • Cleaning windows that fit youCleaning scheduled around your business: evenings, early mornings or weekends. The window is agreed in writing, so nobody is vacuuming through a late meeting.
  • A consistent crew[Confirm: the same assigned crew each visit, and we tell you before it changes]
  • Quality walks and spot checks[Owner's first name] walks your space with you after your first week, then monthly, and sends a short written note after each walk. Between walks, a supervisor checks the work against your checklist. [Confirm supervisor inspections and how often]
  • Supplies your wayYou supply and we restock, we supply paper, soap and liners, or we simply flag low stock for you to reorder. Your proposal names one, so nothing is assumed. [confirm whether Gentle Touch supplies paper, soap and liners]
  • One place to ask for changesAn extra clean, a skipped night, a new task: send a service request, a text or an email. We reply within 2 business hours.
  • Misses fixed quicklyMissed something on your checklist? Tell us within 24 hours and we'll come back and fix it within 1 business day, at no charge. Report a miss.

Security & access

Who holds your keys, and what happens at lock-up.

Read our access policy

Keys, fobs and badges, logged

Each one is signed out to us on a key log and signed back when you ask for it. Tags carry a code, never your company's name or address.

Your alarm, your audit trail

We ask for individual alarm user codes, so your system shows when we arrive and leave, and you can remove our codes any time. [Confirm the alarm-code policy]

A lock-up checklist every visit

Doors checked, lights off and alarm set before we leave. If a door won't latch or the alarm won't arm, we tell you that night.

Codes never go in forms or texts

We exchange alarm and door codes in person or by phone after you sign. Please never put a code in a web form, an email or a text.

Paperwork, before the first night

Insurance
[Insurance: general-liability carrier; limits go on the COI only]
Workers' compensation
[Workers' compensation: carrier, or remove]
Background checks
[Background checks: vendor and scope, or remove]
Business license
[Business license: City of Roanoke BPOL number]

Certificate of insurance and W-9 on request, usually the same business day. Need them first? Request them here.

How quotes work

What shapes your quote.

We quote the scope, not just the square footage. These are the things we look at on your walkthrough.

Square footage and layout

How much floor there is, and how it's broken up into rooms and floors.

Private offices or open plan

A floor of small rooms takes longer to clean than one open room of the same size.

Restrooms and breakrooms

Usually the most detailed part of each visit, so how many you have matters.

How often, and when

Nightly, a few nights a week or weekly, and the window you need us in.

Floor types

Carpet, VCT, LVT, tile or sealed concrete, plus any periodic floor care.

Headcount and foot traffic

More people means more trash, more restroom use and more wear on floors.

Recycling streams

Single-stream or sorted, and where each one needs to go.

Supplies

Who stocks paper, soap and liners, and how much restocking each visit takes.

Access and alarm

Keys, fobs, alarm codes and any building rules for after-hours vendors.

Every space is different, so every quote is custom. Walkthroughs are free, with no obligation.

Your price is in writing. Nothing changes without written notice at least 30 days ahead.

How our quotes work

Scope limits

What isn't part of office cleaning.

Knowing the edges up front saves surprises later. Your proposal spells out exactly what's in and what's out.

Not part of office cleaning

  • Washing dishes
  • Inside desks or drawers
  • Computers, screens and keyboards
  • Production floors, process equipment and machinery
  • Exterior windows above ground level
  • Anything above step-ladder reach

Want dishes done, or ground-level outside glass cleaned? Ask on your walkthrough. If we can take it on, it goes in your proposal.

Not something we do anywhere

  • Regulated medical waste or sharps containers
  • Biohazard, trauma or blood-spill cleanup
  • Mold, lead or asbestos remediation
  • Pest control
  • Kitchen hood and exhaust-duct cleaning
  • HVAC duct cleaning
  • Exterior windows above ground level, or any lift or rope work
  • Junk, furniture or debris hauling
  • Snow removal

Good questions

Office cleaning questions

Anything else? Read the full FAQ or send us a text.

Do you clean after hours, and how do keys and the alarm work?

Yes. Most offices are cleaned in the evening after close, and early mornings and weekends work too. After you sign, we collect keys, fobs or badges in person and log them, and we ask for individual alarm user codes so you can remove them any time. Please share codes in person or by phone, never in a web form. Our access policy has the details.

Who supplies paper towels, soap and liners?

Your choice: you supply and we restock, we supply them, or we flag low stock for you to reorder. Your proposal names one, and restocking is a line on every visit's checklist either way. [confirm whether Gentle Touch supplies paper, soap and liners]

Do you clean desks?

Cleared desk surfaces, yes. We never move papers, open drawers or touch screens and keyboards, so if you'd like a desk wiped, clear it before you leave.

How do I report a miss?

Missed something on your checklist? Tell us within 24 hours and we'll come back and fix it within 1 business day, at no charge. Use the report form, or text us a photo.

Can we change the scope or frequency?

Yes, in writing, any time. Add a night, drop a task or ask for a one-off extra through our service request form, by text or by email. We confirm the change, and any change to your price, in writing before it starts.

What about holidays?

We follow the holiday schedule in your proposal. Tell us about closures and we'll skip that night. [Holiday policy: which holidays you don't clean, and whether a skipped night is made up]

Is there a long-term contract?

Month-to-month service. Either of us can end it with 30 days' notice by email, text or our online form. How ongoing service works.
