How our quotes work.

We don't publish a price list, because two offices the same size can need very different cleaning. Here's what shapes your quote and what you get in writing.

Why we walk your space first

A price you can rely on starts with seeing the space.

A number given over the phone is a guess. Two suites of the same size can have one restroom or six, carpet or tile, a busy waiting room or a quiet back office, a nightly visit or a weekly one. We'd rather see it than guess at it.

Low guesses lead to cut corners later. A quote that's too thin gets made up somewhere, usually in skipped tasks and rushed visits a few months in. That's the slow slide most people mean when they say their last cleaning company stopped trying.

So we price to the walkthrough, not to win the bid. You get one price for a written scope, and we hold ourselves to that scope every visit. The walkthrough is free, and there's no obligation.

What shapes your quote

Eight things we look at on every walkthrough.

Square footage is only the start. These are the questions that decide how long a visit really takes, and what it needs.

Size and layout

Square footage matters, and so does the layout: an open floor plan cleans differently from a run of private offices and long hallways.

Restrooms and breakrooms

They take the most care on every visit, so how many you have can matter as much as the size of the space.

How often and when

Nightly, a few times a week or weekly, and whether we clean after close, before you open or on weekends.

Floor types

Carpet, VCT, luxury vinyl, tile, sealed concrete, wood and rubber each need different care, and some need periodic floor work.

Foot traffic and occupancy

A full waiting room or a busy gym floor needs more each visit than a quiet suite with a handful of staff.

Special areas

Exam rooms, locker rooms and showers, nurseries, elevators and glass storefronts each add specific tasks to the checklist.

Supplies

Whether you stock paper towels, toilet paper, soap and liners and we restock them, or we supply them. Your proposal names which. [confirm whether Gentle Touch supplies paper, soap and liners]

Access and security

Keys, fobs, keypads and alarms, building rules on hours, and areas that stay locked or need an escort.

For post-construction

Construction cleanup is quoted per phase, so the questions change. We look at:

  • The phase: rough, final or touch-up
  • The finished size of the space
  • The dust load, and how many trades are still on site
  • Glass, protective film, labels and overspray
  • Finishes and floor types, cleaned to each maker's guide
  • Schedule limits: inspection dates, nights or weekends

Every space is different, so every quote is custom. Walkthroughs are free, with no obligation.

In writing

What your written proposal includes.

Your written scope and quote follow within 2 business days of the walkthrough. It's the document you'll hold us to, so it spells everything out.

  • A scope checklist for your space, by frequency: each visit, weekly, monthly and quarterly
  • Your cleaning window: the days and hours we'll be there
  • The supplies plan: you stock and we restock, we supply, or a mix we agree on
  • The access and lock-up plan: keys or fobs, the alarm, and the lock-up checklist
  • Your quality-walk schedule
  • One price for that written scope
  • Agreement terms: Month-to-month service, with 30 days' notice to end it [confirm]

How your price stays predictable.

Once you accept a proposal, the price is in writing, and any change is agreed before it happens.

Billing

Invoices monthly for recurring service, and on completion for post-construction work and extra visits, on Net 15 terms. Pay online, by bank transfer (ACH) or by check. [confirm invoicing cadence]

Can you give us a ballpark over the phone?

We'd rather not guess. The walkthrough is free, and you get a written quote you can rely on, usually within 2 business days of the walk.

Is the walkthrough really free?

Yes, with no obligation. We walk the space with you, answer your questions and send a written scope and quote. If it isn't right for you, that's the end of it.

Is the price based only on size?

No. Restrooms, frequency, floors and timing often matter more than square footage. That's why we look at all of them before we quote. See what shapes a quote.

Can we get a quote for next year's budget?

Yes. We can quote without a start date. Tell us when you're planning for, and we'll walk the space whenever it suits you.

How quickly do we get the written quote?

Within 2 business days of the walkthrough. Post-construction bids that need a plan review can take a little longer, and we'll tell you when to expect it.

What if our needs change after we start?

Tell us. We update the written scope and quote together before anything changes, and nothing new is added without your written OK.
